AI Automation Examples: 6 We've Shipped, With Results

Six AI automations we have built for real clients: what each one does, where a person stays in, the results we can show, and what each kind costs.

Six AI automations we've shipped: calls answered and jobs booked, product uploads and content (20 to 1,000 a day), customer chat and tickets, order processing, lead scoring on old CRM data ($1.14M pipeline) and cold outreach research and replies

AI automation means handing a repeatable task to software that can read, decide and act inside the tools you already use: answering a call, processing an order, writing a product listing, scoring a lead. Below are six AI automation examples we've built for clients and that are running today, what each one does, where a person stays in the loop, and the result where we can show one. They're the most common kinds of AI automation small and growing businesses ask us for.

Every example is our own work. We haven't included anything we've only read about.

1. Which calls can an AI receptionist answer and book?

The task: a trades or local business misses calls while the team is on a job or after hours, and those callers ring someone else.

What the AI does: it answers every call and website chat in a natural voice, answers questions about services, prices and hours from what it's been taught, and books the job straight into the calendar or CRM the business already uses. We've connected it to GoHighLevel, HubSpot, Zoho and clients' own systems.

Where a person stays in: hot leads, urgent jobs and anything unusual go to the team by text or email, with a summary of the call. Every month we review conversations and update its answers.

Running for: 432 Trees, Woodland Works and Executive Dumpsters. Each one is built on Retell with natural ElevenLabs voices.

Cost: our AI receptionist is $499 a month plus $999 set-up, with no call or minute cap. Our cost breakdown compares it with apps and human answering services.

2. Can AI take over product uploads and content?

The task: ElectronicFirst, an electronics retailer, added products to its store by hand: about 20 a day.

What the AI does: agents create the listings and content and upload them, around the clock.

The result: from 20 uploads a day by hand to 1,000 a day automated. In the client's words: "Ships in two days what used to take a week." (Azzaz, ElectronicFirst.)

ElectronicFirst's product uploads, by hand and automated. The same 5 agents run chat, ticketing, orders and content.

3. Can AI answer customer chat and tickets?

The task: the same retailer's customers get in touch at all hours, by chat and by support ticket.

What the AI does: agents answer customer chat and handle tickets around the clock.

Where a person stays in: anything the agent can't answer with confidence goes to the team with the conversation so far, so nobody has to ask the customer to repeat themselves.

The result: part of the same five-agent set-up at ElectronicFirst, which covers chat, ticketing, orders and content day and night. We don't publish a separate number for chat alone.

4. Can AI process orders?

The task: every order needs checking, entering and tracking, and doing that by hand doesn't scale with the store.

What the AI does: an agent processes and tracks orders inside the tools the business already uses, so nobody copies details from one system to another.

Where a person stays in: orders that don't match the rules (a missing detail, an unusual request) are handed to a person rather than guessed at.

The result: running around the clock at ElectronicFirst as one of its five agents.

The pattern behind these examples: the agent does the repeatable work, and anything it isn't sure of goes to a person.

5. Can AI find revenue in old CRM data?

The task: Arvicon International had 30 years of leads and contacts sitting in its CRM that nobody had time to go back through.

What the AI does: it scores every record by how closely it matches past buyers, so the team works the most promising old leads first instead of buying new lists.

The result: $1.14M in pipeline recovered within one quarter. In the client's words: "Reactivated $1.14M in pipeline within one quarter." (Gaurav, Arvicon International.)

This was a custom AI build (from $2,999, with an accuracy or performance target agreed in the scope). Our AI lead generation guide covers where scoring fits in a wider outbound system.

6. What can AI do in cold outreach?

The task: reaching new buyers by email means building lists, researching each prospect, writing to each segment and sorting the replies.

What the AI does: in the campaigns we run, it helps find companies that match the client's best customers, pulls each prospect's context into one record, drafts first lines for each segment, and sorts replies by intent.

Where a person stays in: the client approves the list and every sequence before anything sends, and a person answers the interested replies and books the calls.

The numbers: we plan campaigns at 21,000 emails a month, 1.5% positive replies and 25% of those to meetings, about 79 meetings a month. That's below our clients' average of 2% and 40%. It's our cold email service, at $2,499 a month.

What do these examples have in common?

Each one takes repeatable work with clear rules and gives it to the AI, and hands anything unusual to a person with what the AI found so far. That's what keeps them reliable enough to run unattended.

Before you automate something, check three things:

  1. Does it happen often, the same way? Twenty times a week is worth automating. Twice a year isn't.
  2. Can the rules be written down? If two people on your team would handle the same case differently, settle that first.
  3. Can the AI reach the data? If a tool has an API or a reliable export, an agent can usually work with it.

What we'd leave alone: one-off judgement calls, sensitive conversations, and anything where a wrong answer costs more than the time saved.

Common questions

What is an example of AI automation in a small business?

An AI receptionist is the most common one we build: it answers calls and website chats, answers questions about your services and prices, and books jobs into your calendar, day and night. It's running for 432 Trees, Woodland Works and Executive Dumpsters.

What's the difference between AI automation and ordinary automation?

Ordinary automation follows fixed rules: if this happens, do that. AI automation can also read and decide, such as understanding an email, writing a product listing or judging how closely a lead matches past buyers, and hand the case to a person when it isn't sure.

Which task should we automate first?

The one that happens most often, follows the clearest rules and uses data the AI can reach. For most businesses that's answering common questions, processing orders, moving data between systems, or building reports.

How long does an AI automation take to build?

It depends on the process and the tools involved. You get the scope, price and timeline in writing before work starts, and every automation is covered for its first 30 days: if it doesn't run as specified, we fix it free.
